    Create an Excel list with FirstName, Email, Company, Job and Quote. Remove duplicates and check each row.

    In desktop Word: Mailings → Start Mail Merge → E-mail Messages. Select Recipients → Use an Existing List, then choose your workbook.

    Insert Word merge fields into your approved template. Preview each record. For this workflow on Windows, use compatible desktop Word and classic Outlook.

    Use a separate one-row test list containing your own email address. Send only that test, check it, then review the real list before sending.

All Trades Group’s public email routing points to Microsoft 365, but the installed Outlook version and licences need checking. Word mail merge has limitations, including attachments in the Windows workflow.

Use the approved customer list and message purpose. For marketing, check consent and unsubscribe requirements. For quote follow-ups, exclude anyone who already replied or no longer needs a follow-up. Never send your practice list. ACMA guidance

This is a setup guide, not an installed flow. AI Builder / Copilot credits, licences, region and admin permission may be required. If unavailable, copy and paste into your AI app first. Add an inbox trigger only after the pilot is reliable.

    Use your own test booking. Check the message and timing, then enable the approved rule. Review sent messages regularly.

AI does not need to run for every reminder. Timely lists follow-ups for Elevate and Innovate, and rebooking reminders for Innovate; confirm your current plan. Clinical timing and aftercare remain clinician-approved.

Prefer to try an agent such as Grok Bot, ChatGPT Work or Claude Cowork?

After confirming access in your account, create a sample folder with fictional enquiries. Give access only to that folder. Use this narrow first brief:

Read the sample enquiries in this folder. Make a table of requests, missing facts and next actions. Create a separate draft reply for each. Save the outputs in a new Review folder. Do not send messages, change the source files or connect other accounts. Stop and ask when a fact is missing.

A prompt is not a security setting. Also check the tool’s actual permissions and approval controls. Confirm every saved file before reusing the workflow.

A simple 60–75 minute session

0–10 min: Ask each person which repeated job annoys them most. Walk through the notes-to-draft example.

10–20 min: Open one app together. Demonstrate a voice prompt and a follow-up instruction.

20–40 min: Each person completes two exercises. Compare the AI answer against the checks.

40–55 min: Show Jim the mail merge. Show Elena the Timely reminder setup. Demonstrate with sample data.

55–75 min: Choose one pilot each, save their prompts and agree who checks it next week.
